Privacy Policy

Odyssey Apex LLC ("Odyssey Apex," "we," "us," or "our") respects your privacy. This Privacy Policy explains how we collect, use, store, share, and protect information when you visit odysseyapex.com or use the Odyssey Apex roofing financial intelligence platform (collectively, the "Services").

By using the Services, you agree to the practices described here. If you do not agree, do not use the Services.

1. Information We Collect

1.1 Information you provide

When you create an account, request a demo, or contact us, we collect information you submit, including:

  • Name, business name, email address, phone number, and mailing address
  • Job title, role, and trade or industry
  • Billing details processed by our payment provider (we do not store full card numbers)
  • Communications you send to us, including support requests and feedback

1.2 Information from QuickBooks Online

When you connect QuickBooks Online to the Services, we receive financial and operational data necessary to deliver the Services. This may include customer records, invoices, accounts receivable aging, job and project data, vendor records, transactions, and related metadata. We access this data through the official QuickBooks Online API under the permissions you grant during the OAuth connection. Our access is read only by default.

1.3 Carrier estimates and AI assisted extraction

When you upload a carrier estimate for claims reconciliation, the PDF is transmitted to Anthropic, an artificial intelligence service provider, so the figures printed in the document can be extracted for your review. Odyssey Apex processes the original PDF in memory and does not save the original PDF to an Odyssey Apex or Supabase storage bucket after that request finishes.

We do store the resulting claim record in your account. That record may include the source filename, insured name, loss address, claim number, carrier, dates, extracted financial figures, extraction confidence, invoice matches, review status, and related audit or recovery records. AI generated extraction can be inaccurate. You are responsible for checking the extracted figures against the original document before acting on them.

1.4 Information collected automatically

When you visit our site or use the Services, we automatically collect:

  • Device and browser information, including IP address, browser type, and operating system
  • Usage data, including pages viewed, features used, and timestamps
  • Cookies, pixels, and similar technologies used for authentication, analytics, and site performance

1.5 Information from third parties

We may receive information about you from service providers, payment processors, analytics partners, and publicly available sources to verify identity, prevent fraud, or improve the Services.

2. How We Use Information

We use the information we collect to:

  • Provide, operate, secure, and improve the Services
  • Connect to and read data from your QuickBooks Online account as authorized
  • Use AI assisted document extraction to read carrier estimates you choose to upload
  • Send automated AR followups, alerts, reports, and other communications you have configured
  • Process payments and manage subscriptions
  • Respond to support requests and customer communications
  • Detect, prevent, and respond to fraud, abuse, and security incidents
  • Comply with legal obligations and enforce our agreements
  • Analyze usage patterns to improve features and user experience

3. How We Share Information

We do not sell your personal information. We share information only as described below:

3.1 Service providers

We use service providers to operate the Services. Current providers include Supabase for authentication and database services, Vercel and Netlify for hosting, Stripe for payment processing, Resend for email delivery, Anthropic for AI assisted carrier estimate extraction, and Intuit for the QuickBooks Online connection. These providers receive only the information needed for their function and process it under their applicable agreements and privacy terms.

3.2 QuickBooks Online

We exchange data with Intuit QuickBooks Online as required to deliver the Services. Your use of QuickBooks Online is governed by Intuit's own terms and privacy policy.

3.3 Legal and safety

We may disclose information when required by law, court order, or government request, or when necessary to protect the rights, property, or safety of Odyssey Apex, our users, or the public.

3.4 Business transfers

If we are involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any change in ownership or use of your information.

4. Data Security

We encrypt data in transit and at rest. Payment data is handled by Stripe, a PCI DSS certified processor. Card numbers never touch our servers. We restrict access to your data to authorized personnel who need it to operate the Services. No system is perfectly secure, and we cannot guarantee absolute security, but we work continuously to protect what you entrust to us.

5. Data Retention

We retain account data, synced QuickBooks records, extracted claim records, audit history, and financial records while your account is active. Cancellation or QuickBooks disconnection stops future service activity but does not automatically delete historical records.

The original carrier estimate PDF is not retained by Odyssey Apex after the upload request finishes. Extracted claim data and the source filename remain in your account until you delete the applicable record or request account data deletion.

You may request deletion by emailing privacy@odysseyapex.com. We will delete or deidentify information that we are not required to retain for legal, security, fraud prevention, billing, dispute resolution, or enforcement purposes. Residual copies may remain temporarily in provider backups until those backups rotate through their ordinary lifecycle. We do not promise automatic account deletion solely because a subscription is canceled.

6. Your Rights and Choices

Depending on your location, you may have the right to:

  • Access the personal information we hold about you
  • Correct inaccurate or incomplete information
  • Request deletion of your data
  • Object to or restrict certain processing
  • Receive a copy of your data in a portable format
  • Withdraw consent at any time, where processing is based on consent

To exercise these rights, email us at privacy@odysseyapex.com. We will respond within the timeframe required by applicable law.

7. QuickBooks Connection and Disconnection

You can disconnect QuickBooks Online from the Services at any time inside your Odyssey Apex dashboard or directly from the Apps section in QuickBooks. Disconnection halts future data sync and stops automated workflows. Historical synced records remain until you delete the applicable records or request account data deletion as described above.

8. Cookies and Tracking

We use essential cookies to keep you logged in and to operate core functions. We use optional cookies for analytics and product improvement. You can control non essential cookies through your browser settings. Blocking essential cookies may break parts of the Services.

9. Children's Privacy

The Services are intended for business use by adults. We do not knowingly collect information from anyone under 18. If you believe a minor has submitted information to us, contact us and we will delete it.

10. International Users

The Services are operated from the United States. If you access the Services from outside the United States, your information will be transferred to and processed in the United States, where data protection laws may differ from those in your country.

11. Changes to This Policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top reflects the most recent revision. Material changes will be communicated by email or in product notice. Continued use of the Services after changes take effect constitutes acceptance of the revised policy.
